• If you book a room via a third-party travel agent or website, they may communicate information about you.

Exmoor Cliff Retreat may collect information about your computer; this is statistical data concerning your browsing actions and does not identify you individually. This information includes your IP address where available, operating system, and browser type.

We may also collect information about your general internet usage using cookie files stored on the hard drive of all computers. The cookies contain valuable information that is transferred to your computer’s hard drive. In collecting this information our web developers can improve our site performance.

By refusing to accept cookies, you may be unable to access certain parts of our website. You can activate the refuse setting on your browser.

Our web developers use Google Analytics for site performance. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users’ computers. Password and firewall protection are used for all computer records kept at Exmoor Cliff Retreat.

All relevant paperwork with guest details is shredded when no longer required except when legislation requires paper records to be kept on file for a set duration

• Service change notification
• Following contact consent, information about products and services will be provided.
• To participate interactively should you consent to do so.
• To ensure legal booking obligations are fulfilled including email correspondence, telephone calls, or messaging.

Exmoor Cliff Retreat may also use your data to provide information on goods and services that may be of interest. (once you opted in or requested to be kept up to date).  You may opt-out of future emails by clicking the “unsubscribe” link or alternatively in writing to the owners at the address below.

Customer preferences may be used to enhance future guest experiences.

We respect your privacy and will not share your data with any third parties except as outlined below.

Exmoor Cliff Retreat does not collect sensitive personal data (such as racial or ethnic origin, nationality, political opinions, religious beliefs, etc) unless it is volunteered by you.

The owners may disclose your personal information to third parties:

• To the prospective buyer or seller of any business or assets in the event that we sell or buy
• If we are under a duty to comply with any legal disclosure obligation. To protect the rights, property, and safety of Exmoor Cliff Retreat customers or others, or to enforce our terms of use for the site. For the purposes of fraud protection and credit risk reduction, this may include exchanging information with other companies.
• Exmoor Cliff Retreat does not pass information to third parties for marketing purposes.

From time to time the Exmoor Cliff Retreat website may contain links from partner or hospitality networks, advertisers, and affiliates. If you visit any of these sites please note their own privacy policies. Exmoor Cliff Retreat does not accept liability for these policies.

To enhance the Exmoor Cliff Retreat guest experience, we offer Amazon Echo Dot voice-controlled smart room features in bedrooms. The device is listening for the command phrase “Alexa” at which point the blue ring lights up and what you then say is recorded by Amazon in order to answer your question.   As soon as the blue ring turns off, the recording stops.  Voice recordings are stored for up to 3 months by Amazon and may be used by them and/or us to improve services.  Guests can delete voice recordings during their stay by contacting us in writing.  If you prefer that the device is not listening (and therefore recording requests), simply press the “Mute” button on the Echo Dot (the ring will turn red) or unplug the cable from the device.

If you book a room via a third-party website, they will have their own Privacy Policy and will need to pass certain information relevant to the booking to us including contact details, address, and credit card details to facilitate the booking process. In some circumstances where email addresses are hidden, Exmoor Cliff Retreat will contact you directly. All conversation details will be recorded by the third party for record purposes should any dispute or clarification be required.

If you make a reservation via our website, you will be asked to enter your credit/debit card details to confirm your booking. This is facilitated on a secure server hosted by our channel management agent Eviivo who is fully PCI DSS compliant safely encrypting and storing your card details for the required period after your booking is processed. These card details may be accessed by us, through a secure encrypted link for use in the event of cancellation/no show. Exmoor Cliff Retreat also charges a deposit and may pre-authorise your card to ensure validity and proof of funds. No further charges will be made to your card without prior notification (unless specified in our Terms & Conditions, e.g. an advance purchase rate).  We do not store your credit card details locally

You can exercise the right to access any information we hold about you. Any request to access the information we hold on you must be requested in writing and will be processed within the statutory 30 days.

Any changes made to our privacy policy will be posted on this page.

We have 4 Ring Wi-Fi cameras at Exmoor Cliff Retreat, installed in the following locations;

1. Front Door – as a doorbell and for security along our driveway.
2. Main Lobby – pointing towards the front door, at the entrance to our private quarters.
3. The Den – for security in our bar area and where there is ground floor access to the house via a ground floor window.
4. Side Garden – focused on our private garden area and driveway.

None of the cameras are in a position where they can see inside the guest’s bedrooms, their bedroom doors, or bedroom windows.
We use these cameras for the security of our property, ourselves, our animals, our guests, and our guest’s property.
The data is recorded securely online and is only kept for 60 days.
Only the owners of Exmoor Cliff Retreat have access to these cameras, via an app on our smartphones, both of which are password and finger-print protected.
